At Svoon we have extensive experience of both Document and Records Management,
understanding how they compliment and integrate to each other, the underlying
policies and taxonomies and more importantly our projects can demonstrate how with
dynamic thinking both can be used to improve workflows, reduce administration,
minimise risk and associated costs and now how to utilise A.I. to bring value from
archived information blended with current data and trends.

Our experience has been within corporate legal firms, the Police, finance and the health
service sectors.

Our projects have included reviewing, proposing full solutions and suppliers considering
both Document and Records Management as a fully integrated set of requirements and
processes. This meant assessing both systems, data, suppliers, processes and owners
and often has meant us recommending changes to the underlying operational model,
roles and responsibilities (gaining efficiencies, lowering costs and improving quality and
risk management). We have often been asked to conduct a GAP analysis against
regulatory and legal directives, operational and client needs, helping to define a
practical set of RM policies. Once having a true understanding of the policies and looking
at an integrated approach we have then designed and implemented enhanced and
automated processing and quickly benefited from the associated reduction of costs for
storage and handling not to forget reducing the potential risks behind all of the three
elements.

We are very experienced in considering the integrations between desktop, critical
systems and the IManage document management system. The touchpoints of opening
and closing and tagging these documents and folders to a client/matter/taxonomy and
creating appropriate access, taxonomies and workflows. Well experienced in the
physical document management and storage hubs, processes, products from the likes of
iron Mountain etc.

By ensuring our policies were linked to workflows and documents each having related
effort and costs a cost benefit model report was built to summarise the current
movement of physical documents, and the anticipated additional physical and digital
storage costs. We delivered and exceeded expectations in an improved integrated end
to-end process, with governance built in and always monitoring the current and potential
costs of archiving and retention/retrieval.
